A stakeholder is a person, group, or organization whose interests may be affected by your project—whether directly or indirectly, positively or negatively, during project implementation or while using the project results. Additionally, not only can a project influence stakeholders, but stakeholders can also influence the project, affecting the implementation process or project outcomes in similar ways—directly or indirectly, positively or negatively.

Different stakeholders may have competing demands, which can create conflicts within the project. Stakeholders also have varying levels of responsibility and authority, which may change during project planning and implementation. Therefore, successfully identifying stakeholders, managing their expectations effectively, and involving them in the project is crucial to the project’s success.

Duration of the Workshop: 2 to 8 hours (depending on the scale of the customer’s projects).

How the “w.Stakeholders” Workshop is Conducted

During this workshop, participants will experience three main “phase transitions”:

  1. From a basic understanding that there are people around the project who can influence it → to a clear list of all individuals, groups, or organizations involved.
  2. From this list → to a well-defined strategy for working with stakeholders.
  3. From the strategy → to concrete actions directed at stakeholders.

Under the guidance of an instructor, the team will accomplish the following tasks:

  1. Identify all project participants (including the sponsor, customer representative, technical experts, and business experts).
  2. Create a register of all stakeholders, detailing their interests, levels of involvement, relationships, and influence on the project.
  3. Analyze and identify stakeholder requirements, concerns, and expectations.
  4. Develop a stakeholder matrix and select strategies for engaging stakeholders (both groups and individuals).
  5. Develop a Communications Plan and a Stakeholder Engagement Plan.
  6. Implement the developed plans, aiming to increase support and reduce resistance from project stakeholders.

Results of the w.Stakeholders Workshop

  1. A methodology and guidelines for stakeholder management have been developed.
  2. A Stakeholder Register template, including a list of stakeholders with their characteristics, along with an example of a completed version of this document.
  3. Practical experience in identifying and analyzing stakeholders.
  4. A Stakeholder Matrix template, as well as an example of a completed matrix.
  5. Practical experience in developing a stakeholder management strategy and creating a Stakeholder Engagement Plan.
  6. Hands-on experience in implementing this strategy and managing stakeholder engagement within the project.
  7. An introduction to the fundamentals of conflict management.
